Job Summary

The Meeting and Events Specialist will be efficient, professional and deliver white glove service to guests at all times. Service delivery may include but not limited to warmly greeting all arriving guests, providing a fond farewell, professionally and accurately executing event requests, providing local information or directions, maintains proficiency in the reservation tool and processes reservations, is knowledgeable of all VIPS's, catering offerings and events of the day.

Key Responsibilities:

  • Office hours 10am-7pm

  • Work closely with the Sr. Analyst for event assignments

  • Assist with booking software inquiries from internal clients as needed

  • Overlook conference reservations, cancellations, and holding requests through the booking software.

  • Manage event details and reservations within the booking software and prepare weekly reports for various support services groups.

  • Daily and weekly Outlook communication with clients and Sr. Analyst to confirm all attendee counts and requests are satisfactory and to standards.

  • Ability to participate and assist in event walkthroughs with hosts/clients prior to event date(s)

  • Responsible to print all event floorplans and BEO’s for day of and following day’s events

  • Daily walk through, prior to scheduled conference meetings, to confirm technology equipment, catering, and room setup are successfully attained as outlined in the BEO

  • Serve as liaison with technology, catering, floor services, reception teams and any outside vendors on event-related matters.

  • Act as day of point of contact for clients and/or Sr. Analyst for event assistance

  • Assist with Meet and Greet service for high profile guests and clients when needed

  • Sustaining prominent professionalism to change, resolve, or improve day of reservation requests by the host/client

  • Ability to cross train and assume diverse roles and responsibilities.

  • Provide outstanding client service and ability to build relationships with internal and external clients and vendors.

  • Other duties as assigned

Preferred Qualifications:

  • A genuine sense of hospitality, with a commitment to delivering the Rapport business standards.

  • The ability to work under pressure, prioritizing tasks and juggling many jobs simultaneously, while constantly interacting with visitors in a public environment.

  • Excellent listening and oral communication skills.

  • Basic computer skills and knowledge of office technology / equipment.

  • Punctual, dependable and dedicated to achieving operational excellence, down to the smallest of details.

  • Discreet, ethical and committed to maintaining a high degree of confidentiality.

  • A consistently professional approach, with a mindset to take ownership and responsibility within and outside one’s job domain.

  • Two to three years’ experience in meeting and events planning in a corporate environment

  • Ability to work evenings as this is a PM shift role
