Are you adept in multitasking, organizing and balancing shifting priorities in a professional setting? As a Human Resource Support Specialist in the Office of Employee Relations, you will support a team of Attorneys, Labor Relations Specialists and the State EEO Coordinator. The Office of Employee Relations is responsible for all matters concerning the collective bargaining process and for the development and implementation of employee relations policies for all departments and agencies within the Executive Branch of State Government.

Job duties:

You will be responsible for providing administrative support requiring knowledge of office processes, business practices and clerical functions requiring attention to detail, work and public relations. You will be responsible for answering phones and directing callers to the appropriate resource during business hours., filing and archiving records, preparing documentation, and support to management, among other general administrative support tasks.

You will also:

  • Review, enter and complete grievance related transactions in order to ensure all grievance data remains up to date.

  • Act as a liaison between the Departments and the advocates in our office to schedule cases and maintain the office’s master schedule.

  • Establish and maintain a computerized and manual filing system. Ensure that time sensitive reports are routed to the appropriate individual for review. Maintain grievance statistics and prepare reports reflecting trends, working hours, position and salary data and other employment statistics in order to provide documentation and information to agency officials as well as to respond to surveys.

  • Draft memos on behalf of the Office of Employee Relations.

  • Review, enter and process Civil Service Appeals; including receiving appeals, scheduling, attending all Board meetings, and taking minutes or recording the proceedings, and processing travel invoices. The position is also responsible to update the Board information on the Secretary of State’s website and complete the annual report.

  • Research arbitral precedent, contact witnesses, and performing administrative tasks in order to assist Attorneys and Labor Relations Specialists with case preparation.

    To be successful in the position, you must have knowledge of and experience in:

  • Communicating effectively in writing and in person and working as an integral part of a small team.

  • Accurately tracking confidential and date sensitive information.

  • Accurately processing grievance information in the Office’s Access database.

  • Understanding and applying procedural instructions and clearly defined policies and procedures.

MINIMUM QUALIFICATIONS

  • In order to qualify, you must have a three (3) year combination of education, training, and/or experience which provides a solid knowledge of administrative functions. Preferred candidates will have experience in Microsoft Access databases and Microsoft Office. The successful candidate will also have excellent organizational and research skills and be a real go-getter!
