Position Purpose Summary :
Serves as the liaison with other departments, units, or locations in the coordination of payroll processes and systems. Serves as the primary point of escalation for salaried associate processing issues, Time Management system and UltiPro interfaces. Ensures all reporting, audit, SOX and tax compliance requirements associated with payroll are fulfilled. Respond timely to special requests for research, updates or general support from branches and department managers.
Understands the company’s vision, mission, and strategy; understands business unit objectives and sets/accomplishes individual performance goals accordingly.
Meets payroll/HR operational standards by contributing information to strategic plans and reviews; implementing quality, and customer-service standards; and resolving problems.
Processes human resources information for salaried employees in a timely manner utilizing the Authority Matrix (new hires, changes and terminations).
Monitors the HR mailbox and HR phone and responds to issues quickly facilitating resolution of issues to include password resets, UltiPro timesheet errors and time off requests.
Responsible for the setup, administration and troubleshooting of the Time Management module of UltiPro (timesheets and time off plans).
Reviews the reconciliation of the hourly payroll to resolve discrepancies before the Payroll Manager finalizes payroll.
Performs various data audits to ensure compliance with established standards and assists with inquires.
Responsible for the creation, updates, testing and troubleshooting of all interface files to and from UltiPro.
Creates, tests and drafts training aids when necessary for all work-flows in UltiPro.
Creates UltiPro alerts for the Payroll/HR team to help with managing data changes in UltiPro.
Works with various members of HR on the Document Acknowledgement module.
Cross-trained to do data entry for hourly associates data updates, third party sick pay entry, pay cards, and wage garnishments as needed.
Cross-trained on benefits to assist with life events and open enrollment as needed.
Ensures customer issues are resolved in a timely and satisfactory manner. Documents customer calls/issues, identifies trends, and develops solutions to address gaps in quality and/or customer service.
Identifies the need for new support procedures, policies, or communications and organizes resources to deliver against these needs. Recommends changes in methods or procedures to improve the efficiency of the payroll function.
Maintain working knowledge of requirements for compliance with SOX, Wage and Hour as well as other applicable regulations.
Researches policy and procedural issues.
HS Diploma or GED required.AS, BA / BS or Masters a plus.
3-5+ years of experience in related area of responsibility .
FPC, CPP a plus.
Full life cycle multi-state payroll processing experience is a plus. UltiPro experience a plus.
Knowledge of standard payroll processes including gross-to-net calculations and distribution of pay and third party payments including health and welfare, retirement plans, garnishments and taxes.
Knowledge of Timekeeping systems (time entry, time accrual plans).
Ability to analyze/interpret data and understand internal controls, standards and processes.
Proficiency using Microsoft Office Suite Software and relevant tools/technology.
High level of customer service support and client communications.
